PAYROLL & SYSTEMS ASSOCIATE
Key Responsibilities:
- Prepare, validate, and submit payroll inputs (fortnightly, monthly and off-cycle payroll runs) to the Payroll Unit for processing in accordance with established procedures.
- Verify and process payments (overtime, allowances, commissions, etc.) and deductions prior to payroll submission.
- Assist with the reconciliation of HR-originated payroll inputs against payroll outputs and escalate discrepancies to the Payroll Unit under guidance.
- Assist with the correction of payroll-related errors within agreed timelines.
- Administer benefits enrollment and updates within the HR systems (pension, Group Life, health insurance, and other applicable policies) and process associated employee deductions in accordance with approved instructions.
- Generate and distribute payslips and total rewards statements as required.
- Support the monitoring of HRIS integrations and promptly report any failures to the HR System Officer for resolution.
- Administer system access in accordance with approved requests and established access control procedures.
- Support periodic user access reviews by compiling access reports and coordinating confirmations with functional heads.
- Support system testing activities, including execution of assigned test scripts and documentation of results during upgrades and release cycles.
- Provide first-level support for HRIS user queries, escalating complex issues as required.
- Liaise with external and internal IT teams as directed to support issue resolution.
- Assist with training HR users on system processes and updates under the guidance of the HR Manager.
- Conduct periodic user access reviews in line with internal control standards.
- Support the preparation and rollout of annual performance and goals forms.
- Participate in pre-release webinars, documentation review, and testing of HRIS releases.
- Draft and update user procedures, guidelines, and documentation for review and approval.
- Support post-upgrade validation of HRIS releases.
- Prepare ad hoc HRIS reports, as required.
- Identify opportunities for process improvement and provide recommendations for review.
- Ensure confidentiality and secure handling of sensitive employee data.
Required Qualification, Experience, Knowledge and Skills:
- Bachelor’s degree in IT with Finance and/or Accounting discipline(s).
- 2–3 years’ experience in HR systems and/or payroll administration.
- Experience with HRIS and payroll software (SAP, SuccessFactors, etc.).
- Working knowledge of local labour laws and statutory payroll requirements.
- Organised, focused, with keen attention to detail and accuracy.
- Strong numeracy and analytical skills, with expert proficiency in Excel.
- Confidential with high integrity.
- Problem-solving and troubleshooting capability.
- Time management skills and the ability to meet strict deadlines.
- Effective communication and strong customer orientation.
- Understanding of internal controls and risk management principles.
- Ability to manage multiple priorities in a fast-paced environment.
