Junior Securities / Vault Officer

Principal Responsibilities

 

1.     Be responsible for the registration and custody of securities:

o   Maintain the Collateral/Securities Register ensuring that the Register is updated electronically to reflect current information at all times.

o   Follow up Bearer for timely return of documents submitted for stamping and registration.

o   Safekeeping of the Securities/Collateral and loan documents inside vault.

o   Liaise/follow-up with Attorney at Law, Government Agencies to ensure progress is being made. Seek counsel as necessary.

o   Liaise with Relationship Managers, Business Banking Executives, Business Development Officers on matters relating to discrepancies/irregularities to relevant securities.

 

2.     Establish and maintain an appropriate diary system to ensure that Insurance policies (for properties, motor vehicles, etc.) premiums are paid up to date. Updating of security listing with current insurance information,

 

3.     Establish and maintain a proper recording system of securities held for each borrowing client/customer and the bank.  Such a record/log should facilitate tracing of the whereabouts of each item of security at any given time.

    • Control and maintain securities documents held by the bank under lock and key in the vault to ensure full accountability by logging all documents taken in/out at all times.
    • Filing of security documents in the vault

 

4.     Release securities upon receipt of authorized approval after ensuring all conditions are satisfied and follow-up to ensure that settlements are obtained for securities released on letter of undertaking.

 

5.     Provide a range of clerical/administrative support to the account management team involved in credit and maintain ongoing customer relationship and participate in marketing efforts.

 

·       Assist in the dispatch and retrieval of securities as required.

·       Receive and handle customer complaints; attempt to achieve a solution, which is mutually satisfactory to the customer and the Bank; determine when situations necessitate referral to other staff, which will result in solidified relationships.

·       Reply to or initiate correspondence relating to matters in areas of responsibility.

 

 

Required Qualification, experience and key competencies

 

·       First Degree in Management Studies, Finance, Banking, Economics or FICB or equivalent preferred.

·       Diploma/Certificate in Paralegal Training would be a distinct advantage.

·       Diploma/Certificate in Loan Security Documentation.

 

Experience

·       Minimum of three (3) years Banking Experience, knowledge of loan administration with specific emphasis in security documentation and requirements for registering and perfecting securities.

 

Functional competencies

 

·       Experience/knowledge of security documentation and requirements for registering and perfecting securities.

·       Ability to use computer-based software applications and hardware used on the job including the loan and securities subsystem.
