Business Process Documentation Specialist

 

Purpose of position  

                                                                                                           

The incumbent is responsible for creating, updating, organizing and maintaining the Bank’s policies, operating procedures, forms, circulars and related operational documents ensuring accuracy, assessibility and compliance with industry standards and in adherence to proper documentation management practices and established review schedules

 

Principal responsibilities

 

 Creating, Updating and Maintaining Policies, Procedures and Forms

 

  • Prioritise and action requests for the creation and updating of operating policies, procedures, and forms as directed by Operations/ Business Units/PMO and in keeping with the scheduled Policy and Procedures review cycles.
  • Maintain policies, procedures and forms in compliance with applicable laws and regulations and issue circulars as required detailing the changes to existing workflows and new procedures.
  • Review operating procedures, circulars and forms prepared by Process Owners/Business Units and provide direction as needed to ensure documents conform to the defined standards and meet the desired output.
  • Develop and maintain templates for implementation and standardisation of the Bank’s policies, procedures, forms, checklists, service level agreements (SLA) as required.

Documentation Management

  • Develop document control processes i.e. document lifecycles to establish and   promote consistency with approved documentation standards i.e. structure, fomats, logo, templates etc in all bank policies, procedures and forms.

 

  • Monitor the organised maintenance, storage, cataloguing and archiving of policies, procedures and forms on the approved Bank digital storage repository i.e. SharePoint/Network drive(s).

 

Business Analysis and Process Improvement

  • Analyze existing processes independently and in collaboration with Business Heads/Process Owners/Stakeholders to identify areas for improvement and design simple and efficient processes for improved workflows.
  • Conduct market research and perform comparative/gap analysis as required to develop/update new and existing policies and procedures in alignment with industry standards and best practices.
  • Design workflow templates to capture process reviews and/or changes in keeping with change management practices as required.
  • Coordinate the required activities to convert approved processes to procedures for implementation.

 

Training Support

  • Develop training plans and materials and coordinate/deliver training    presentations to support implementation of new and revised process workflows and procedures.

 

 

Required Qualification, Experience and Key Competencies

 

  • Bachelor’s Degree in Business Administration, Banking Operations or related field.
  • Minimum Five (5) years’ experience working in the financial industry.
  • Process Analysis, Business Analysis, Process Mapping and or Project experience
  • Certification in Business Analysis, Process Design or Document Writing would be an asset
  • Proven experience in policy and procedures writing, process mapping and business analysis methodology, practices, tools and techniques
  • Experience in process mapping using process mapping tools (e.g. BlueWorks, Nintex, Visio)
  • Strong organizational, communication, problem solving and time management skills
  • Proficiency in Microsoft Office Suite, with  emphasis on Microsoft Word, Powerpoint, Project and Excel
  • Comprehensive knowledge of Banking Operations
  • Demonstrated experience in developing training materials and delivering training to personnel at all levels of the Bank
  • Knowledgeable in Project Management regarding stakeholder engagement and coordination of project related activities
