ADMINISTRATIVE ASSISTANT
The Administrative Assistant will provide high-quality administrative and operational support to the Group Internal Audit department, ensuring the smooth functioning of internal processes and external engagements.
Key Responsibilities:
- Coordinate the timely distribution of Final Audit Reports to Subsidiaries.
- Establish, develop, maintain and update the department’s electronic and hard copy filing system to ensure easy access and retrieval of information/documents.
- Coordinate mid-year and end of year appraisals to ensure timely completion by Chief Audit Executive.
- Ensure adequate stationery and office supplies
- Open, sort and distribute incoming correspondence
- Maintain office supply inventories
- Schedule and coordinate meetings, appointments and travel arrangements for GIA staff
- Assist in the implementation of special projects
- Manage the process of coordinating and receiving responses to client satisfaction surveys.
- Manage front-line communications by responding to and routing incoming telephone calls, and receiving, welcoming, and directing visitors and clients in a professional manner.
- Handle requests from internal customers for information and data
- Address and resolve administrative issues and inquiries in a timely and effective manner.
- Prepare written responses to routine enquiries
- Prepare and modify documents including correspondence, reports, etc.
- Prepare meeting agendas and coordinate schedules to support effective planning and organization.
- Record, compile, transcribe and distribute minutes of meetings
- Coordinate maintenance of office equipment
Required Qualification, Experience, Knowledge and skills:
- Sound knowledge of the Company’s Policies and Procedures
- Ability to gather data, compile information and prepare accurate reports
- Excellent telephone etiquette and customer service orientation
- High degree of organizational skills with attention to detail and accuracy
- Flexible, adaptable, and able to manage multiple priorities
- Proven ability to meet strict and/or unexpected deadlines
- Demonstrated ability to work independently with limited supervision
- Excellent interpersonal, verbal and written communication skills
- High level of professionalism and confidentiality
- Strong problem assessment and problem-solving skills
- Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint)
- Team-oriented with a collaborative approach to work
- Minimum 3 years’ experience in a similar role.
- Diploma or Associate Degree in Business Administration or equivalent.
- CPS designation.
